SIMPLIFYING A COMPLEX RENOVATION
Every renovation comes with a unique set of challenges, and the City of Lancaster’s makeover of City Hall was no exception. This project included:
  • The renovation of a historical building
  • The addition of a new facility adjacent to the existing structure
  • High-performance workspaces to accommodate employees and customers
  • Space planning services that take both work styles and historical features into account
  • Furniture specification that addresses both immediate concerns as well as future needs and expansions

The City of Lancaster knew the City Hall makeover would require a partner with full service capabilities, which led them to Benjamin Roberts, a trusted local HON dealership. “We chose Benjamin Roberts because they had a proven reputation for managing complex projects, and represented the full product offering from HON that supported all our employee and customer-facing needs,” said Charlotte Katzenmoyer, Lancaster Director of Public Works.
PLANNING
To gain an understanding of the various ways in which the City Hall employees worked and served customers, Benjamin Roberts began researching and observing interactions throughout the workday. The mix of styles included employees who needed dedicated private workstations, customer service reps who required additional guest seating, and collaborative workers who moved throughout the space to accomplish various tasks.

The diverse types of spaces provided an opportunity to display the versatility of HON solutions and the space planning abilities of the Benjamin Roberts team. Their solution included developing specific furniture standards for open spaces, workstations, conference rooms, customer-facing areas and executive suites that would enable future growth and create a blueprint for future projects.
SELECTION
After working closely with the client and architectural firm, Cox Evans, to finalize the space plan, Benjamin Roberts proposed a range of HON product solutions. These solutions created a flexible platform to serve the variety of unique spaces, and support the overall comfort, quality and aesthetic needs. To streamline and simplify the bid process, Benjamin Roberts presented Lancaster with pre-negotiated GSA pricing. According to Benjamin Roberts President Rob Bomberger, “this allowed Lancaster to move forward quickly with the confidence that they would receive quality products at affordable pricing.” Once the space plan and furniture solutions were agreed upon, Benjamin Roberts configured sample private office and workstation spaces to help the client visualize their new environment.

INSTALLATION
The eight-month project timeline included a two-stage move and installation, with employees relocating into the new annex while City Hall was being renovated, then back into City Hall once construction was complete. The move was pulled off without interruption of service. Benjamin Roberts ordered furniture for the annex first, and moved all staff into the space during the eight-month renovation to City Hall. Employees were moved into their permanent spaces in August 2014.
OUTCOMES
Increased Efficiencies: Consolidating services to one building has provided a single source for citizens to do their business, while the flexible storage solutions offer workers a variety of ways to organize their work.

Supported Collaboration: Open environment workstations give users the ability to work together and share information more effectively.

Inviting Atmosphere: Standing height tables at the front of the building create a convenient place for customers to quickly fill out forms, and the new workstations and private offices provide the comfort, organization and aesthetic that make employees feel at home.

Standardized Process: Establishing furniture standards for private offices, workstations and conference areas have positioned the city for growth by making any future space planning and furniture specification processes easier and seamless. “The new City Hall has immediately increased efficiencies, and created an inviting atmosphere for customers. Being standardized on HON products has streamlined project timelines and the way we approach space planning in other city buildings,” said Katzenmoyer.
